A framework for the decisions in this guide.

Make the message useful from inbox to next step

Mock email. Trends should be checked against recipient expectations, applicable law, and current platform support.

The starting point

The useful question for next year's email plan is what your subscribers need from you. Start with the reason someone joined, the action each message should support, and the business result you can measure. This is a planning guide, not a prediction of future platform features or guaranteed returns.

Give every email a job

Choose one primary purpose before writing. A new subscriber may need an introduction to your service; an existing customer may need maintenance advice; someone considering a project may need examples and a clear way to ask questions. Sending the same offer to all three groups makes the message less specific.

Make the signup promise explicit

Explain what people will receive beside the signup form. Keep a request for a downloadable resource distinct from a request to receive ongoing marketing. Store the signup source, date and the wording shown so your team knows what was requested. Make preferences and unsubscribe options easy to find, and respect them across connected systems.

A useful planning exercise is to read the signup page and the first three messages together. If someone asks for a website checklist and immediately receives unrelated sales promotions, revise the sequence before increasing the audience. Collect information because it helps fulfil the request, not because another form has the same fields.

Build a small, testable sequence

  1. Write the complete sequence before activating any step.
  2. Use internal test contacts to check the timing, links and personalization fallbacks.
  3. Test exclusions and exit rules, including contacts already in another sequence.
  4. Check that a reply reaches a monitored mailbox.
  5. Assign someone to review failures and unexpected sends after activation.

Map the trigger, audience, message, delay and exit rule for each automated email. For example, a resource request can trigger delivery, followed by a relevant explanation and an invitation to discuss the topic where ongoing messages were requested. Stop or change the sequence when someone unsubscribes, replies, purchases or moves into a different relationship with the business.

Protect delivery before increasing volume

Have the person responsible for your sending domain check authentication and delivery configuration against your provider's instructions. Google's Gmail sender guidelines cover authentication, transmission and unsubscribe requirements, with additional rules for bulk senders. Check the applicable requirements for your sending volume rather than assuming a newsletter platform handles every domain setting.

Investigate delivery failures, complaints and unexpected unsubscribe patterns before expanding a campaign. Confirm which address sends the message, where replies go and who can access the platform. Keep suppression lists intact when switching providers so an old import does not accidentally re-enrol people who opted out.

Design the message and landing page together

Use a subject line that accurately describes the content. Put the main point early, keep paragraphs short, and make the action understandable without images. Give meaningful images text alternatives; do not put essential prices, conditions or instructions only inside a graphic. Test on a phone and with images unavailable.

The destination should continue the same promise. A message about a specific service should link to that service, not make the visitor search the home page. Use our landing-page lead check to inspect the visible offer and next step, then manually test the form or booking process.

Measure the action after the click

Record sends, delivery issues, clicks, unsubscribes and the intended business action using consistent definitions. Treat a click as a visit to investigate, not proof of a qualified enquiry or sale. Reconcile campaign reporting with the actual enquiry or purchase records where your measurement setup allows it.

Change one meaningful element at a time when comparing messages, and decide in advance what outcome would justify keeping the change. A small audience may not provide enough evidence to declare a winner. Document the audience, dates, change and result instead of presenting an inconclusive test as a proven improvement.

Your next planning session

  • List the subscriber groups and the promise made to each.
  • Choose one sequence to improve and one business outcome to measure.
  • Review the content, landing page, delivery setup and exit rules together.
  • Assign an owner for replies, reporting and maintenance.
  • Schedule a review based on your sending frequency and available evidence.

Connect the plan to your content strategy and marketing budget. If the website and campaign no longer tell the same story, talk to Quake Media about bringing them together.
